Polish civil records come from the Urząd Stanu Cywilnego in two forms – the odpis skrócony, an abridged copy, and the odpis zupełny, the complete one with every annotation in the margin. Which one you send matters, and the receiving body rarely says so on the form.

WHAT THE HOME OFFICE actually asks for
Where documents provided are not in English or Welsh, you must provide a full dated and signed translation in English that can be verified. This must be dated and include the full name and signature of the translator or an authorised official of the translation company and their contact details.

WHY EKO 4 for Polish
Anyone can say they translate Polish. These are the three things that actually decide whether a Polish file is accepted.
Skrócony or zupełny – we say which before you pay
The abridged copy is enough for most UK purposes. Anything that turns on a later event – a divorce, a name change, an adoption – usually needs the complete odpis zupełny, because that is where the annotation lives. If you send the wrong one we tell you free of charge rather than translating it and letting the authority reject it.
Records before 1918 are not in Polish
Poland was partitioned for over a century, and civil records from that period were kept in Russian, German or Latin depending on the region. Citizenship-by-descent and genealogy files routinely contain all of them. Our linguists read those languages and the old scripts, so one family file is translated as one consistent whole rather than farmed out in pieces.
The diacritics are not decoration
Ł, ą, ę, ś, ż, ź, ć and ń change the word. A surname rendered without them stops matching the passport, and a caseworker comparing two documents sees two different people. Every name is reproduced exactly as issued, and where a source document itself spells a name two ways, we flag it rather than quietly picking one.

These are three different things and ordering the wrong one is the most common and most expensive mistake in the process. Which you need is decided entirely by who is receiving the document, and it is the first thing we check when you ask for a quote.

Will the Home Office accept a Polish translation from you?
Yes, and we guarantee acceptance. Every translation is complete and word for word – seals, stamps and marginal annotations included – and is issued dated, on company letterhead, with the translator named and signed and our contact details on it. That is exactly what the Home Office asks for.
Should I send the odpis skrócony or the odpis zupełny?
For most UK applications the abridged copy is enough. If your case turns on something recorded after the original entry – a divorce, a name change, an adoption, a correction – you almost certainly need the complete copy, because that information sits in the annotations. Send what you have and we will tell you free of charge whether it will do.
My family records are in Russian or German. Can you still do them?
Yes, and it is normal for anything pre-1918. Records from the Russian and Prussian partitions are handled by linguists who read those languages, so a citizenship or genealogy file stays with one team and comes back consistent.
Do you need my original document?
No. A clear scan or photograph is enough for the whole job, including certification – front and back, with every corner in frame. Your original stays with you, and if you need a wet-stamped hard copy it is posted to your address.
How long does a Polish certificate take?
A standard civil-registry certificate is normally back within 24 to 72 hours, and expedited service delivers as fast as 24 hours without taking the second linguist out of the process.
Do I need an apostille as well?
Only if the translation is going to an authority outside the UK. For a UK body, certification is the whole job. For a Polish office it is usually the reverse – the UK document is translated, certified and then apostilled. We confirm which applies before you order.
