Some translation is a one-off. A birth certificate for a visa application, a diploma for an employer – ordered once, and that is the end of it.

Then there is the other kind. An immigration team with a caseload. An admissions office in clearing. An HR department onboarding across four countries at once. For them the translation is never the slow part – getting it quoted, approved, chased and invoiced, over and over, is.

Work sent on an account is allocated to a linguist as it arrives, rather than waiting behind the general order flow for a quote to be raised and approved first. Inside the terms you have already agreed, nothing has to be signed off before the work starts.

One named account manager

One person who knows your file formats, your language pairs and which authority you are filing with. One email address and one direct number, and no case history to explain again from the beginning.

Terms agreed once, not per job

Rates for your language pairs and subjects, turnaround commitments and how work is sent and approved are settled when the account opens and then held. No renegotiation on every order, no minimum charge, and a written confirmation of price and delivery date whenever you want one.

Your terminology, kept

A glossary and a translation memory are held against your account, so case terminology, job titles, product names and the things you have decided not to translate come out the same way every time – and text that repeats across your documents is counted once rather than treated as new.

One statement, not twenty invoices

Work through the period and settle on a single statement rather than paying job by job, with every order itemised on it against your own reference. The payment terms are set in writing when the account is opened.

Volume, without dropping a check

Up to 11,000 words a day across a team working from one shared terminology base – and the same three-stage quality assessment on a two-hundred-page bundle as on a single certificate. Volume changes the size of the team, never the number of checks.

WHAT PRIORITY actually means here

Every agency in the country says priority. Here is exactly what it changes on an EKO 4 account, and the one thing it does not.

Allocated on arrival

A job sent on an account is assigned as it lands. It is not held while somebody raises a quote, waits for you to approve it and then goes looking for a translator – those three steps happened once, when the account was set up.

A standing team, not a fresh search

Your language pairs and your subject are covered by linguists who already work on your account and already have your glossary. The first hour of a job is not spent finding somebody suitable, and the same names keep coming back to your files.

Escalated by us, not by you

Deadline work is pushed up the queue by your account manager rather than by you having to make the case for it. And where a deadline is not achievable, you are told at the point you send the work – not the evening before it is due.

What priority does not do

It does not remove the second linguist, and it does not make us promise a turnaround a language pair cannot support. A rare pair takes what it takes. Priority means you find that out immediately and can plan around it – not that the arithmetic changes.

HOW AN ACCOUNT is opened and run

  1. Tell us the shape of the work

    Which language pairs, which document types, roughly what volume, the deadlines you routinely work to, and who receives what you send – because that last one decides whether you need certification, a solicitor or notary, or an apostille on top. Half an hour is usually enough.

  2. We put the terms in writing

    Rates for your pairs and subjects, turnaround commitments, how work is sent and approved, what your invoicing looks like, and any NDA or data processing agreement your compliance team needs. You see all of it before you commit to any of it.

  3. The account is set up

    A named account manager, your glossary and translation memory started, and a standing team briefed on your files. There is no charge for opening an account and nothing to pay until you send work.

  4. Send work the account way

    By email to your account manager, or through the online order system, whichever suits the person sending it. Either route lands inside your agreed terms and comes back with a written confirmation of price and delivery date.

  5. Reviewed as the work changes

    A statement of what has been done, and a proper look at the terms when the pattern shifts – a new market, a document type you have never sent before, a season that is busier than the last one.

PARTNERSHIPS for agencies and other providers

Not every partner is an end client. Agencies, law firms and other language providers work with us as a supplier rather than as a customer, and that arrangement has rules of its own – including one that most suppliers would rather not put in writing.

Delivered for you to issue

Contracts, technical documentation, reports, website and campaign copy – translated to the same standard, delivered unbranded in your working format and on your schedule, for you to hand to your own client under your own name.

Certified work is different, and we will say so

A certified translation has to name the translator or an authorised official of the translation company, with their contact details, because that is precisely what the receiving authority checks. It cannot be issued under somebody else’s name. What we can be is your named certified supplier – your client gets a certification that will be accepted, and you keep the relationship.

Capacity when yours runs out

A pair you do not cover, a volume you cannot absorb this week, a subject outside your linguists’ field. Overflow work runs on the same terms as everything else on the account, which means you can quote for it before you know whether you will need us.

An account changes how you buy translation. It changes nothing whatsoever about how it is produced, and everything below is standard on every order, from a single certificate to a framework running all year.

Confidentiality and UK GDPR

Files move and are held through our own cloud platform and dedicated document servers rather than being emailed around a network of freelancers. They are seen only by the linguists assigned to your account, and kept no longer than the job and your correction period require.

NDAs and data processing agreements

We will sign yours. If your compliance team would rather work from a template of ours, ask and you will have it before the account is opened rather than after the first job has already been sent.

CORPORATE ACCOUNT questions, answered

How much work do we need to send to justify an account?

There is no threshold you have to clear before we will talk. The honest test is simpler than a volume: if you send translation often enough that quoting and approving each one separately has become a nuisance, an account will save you more time than it takes to open. It costs nothing either way.

What does an account cost to open?

Nothing. There is no setup fee, no account fee and no minimum spend. You pay for translation, at the rates agreed in writing when the account is set up, and for nothing else.

Are account rates lower than ordering job by job?

Account rates are agreed for your specific language pairs and subjects rather than taken off a list, and the volume and regularity of your work are part of that conversation. What we will not do is publish a figure on this page that would be wrong for most of the firms reading it. Ask, and you will have a written schedule for your own pairs.

How fast is priority, in practice?

A standard document is normally back within 24 to 72 hours and expedited work delivers as fast as 24 hours, with longer projects running at up to 11,000 words a day across a team. What the account changes is the front of that process: your job is allocated as it arrives rather than after a quote has been raised and approved, and your deadline is escalated by your account manager rather than by you having to chase it.

Can more than one person in our team send work?

Yes. Tell us who is authorised to send work and who is authorised to approve it – they do not have to be the same people – and the account is set up that way. If approval has to sit with one person or one cost code, we will hold to that.

Do you sign NDAs and data processing agreements?

Yes, and we would rather do it before the first job than after it. Send yours, or ask for ours. Everything is handled under UK GDPR whether an agreement is in place or not.

Will the same linguists work on our files every time?

That is the point of a standing team. Your language pairs and subject are covered by linguists who already hold your glossary and already know your documents, and every linguist carries an internal quality rating built from completed work and proofreader feedback, which is what decides who is offered your project.

What happens when we get a sudden spike?

It is what the shared terminology base is for: a team can be put on one project without the versions drifting apart, up to around 11,000 words a day. Tell your account manager a busy period is coming and it is planned for rather than absorbed on the day.

Do you work with other translation companies?

Yes – see partnerships above. Non-certified work can be delivered unbranded for you to issue under your own name. Certified work cannot, because the certification has to name the translator or an authorised official of the translation company and their contact details; there we act as your named certified supplier instead.

How does invoicing work?

On one statement rather than job by job, with every order itemised against your own reference so it can be reconciled against your matter, case or cost code. The payment terms are agreed and put in writing when the account is opened.

What if we need something you have never done for us before?

It goes through exactly the same free analysis as any other job: we read it, confirm what the receiving body will want, and come back with a fixed price and a date. Being on an account does not mean being quoted blind – it means not having to renegotiate the terms around the quote.

Can we still order online in the normal way?

Yes, and ordering runs 24/7. Anything sent under your account reference is handled on your terms whichever route it comes in by, so an urgent job at 11pm does not have to wait for office hours to become an account job.
